Administration Panel

The Administration Panel is where the administrator manages the organization in Chat Seguro: units, departments, users, conferences (groups), conversation history, invoices and subscription, firewall, ServiceDesk setup, customization (logo and colors), access hours, attachment control, Info Panel posts, motivational thermometer, manual links on the Dashboard, storage space and support tickets. Access it from chatseguro.net (Sign in) or via /admin, always over HTTPS.

In the Administration Panel, open the Invoices menu (or My Account > Invoices) to view invoice history with amount, due date, type, payment method, period and status (paid or pending). Each invoice has a print option. The panel centralizes bank slips, tax invoices and account amounts.

In the Administration Panel, go to My Account > Subscription. There you can view plan, payment method, account status and subscription date. Cancellation is requested anytime via support: use the Support button in that area (or the Support menu) and open a ticket.

Check pending invoices under Invoices in the Administration Panel and settle payment. Then open a ticket in Support (or My Account > Support) describing the pending invoice so the team can restore access.

Under My Account > Account details you can edit personal and company data. Email or domain changes must be requested via a support ticket. Under My Account > Subscription you can view the current payment method and change the plan. For billing questions, open a Support ticket.

On the Dashboard, use Change plan, or go to My Account > Subscription / Plan. Select the desired plan under My plan and click Send to confirm. Subscription status and date are visible under Subscription.

The Dashboard shows registered users according to plan licenses. To change plan, use Change plan or My Account > Plan. If you need something outside the listed plans, open a Support ticket with the required number of users.

Currently, Chat Seguro allows only one administrator per environment. Support for multiple administrators is under development and will be available in a future update.

In the Administration Panel, open My Account > Account details to edit personal and/or company data. Email or domain changes must be requested via a Support ticket.

The domain in use appears on the Dashboard (Your domain). The domain can only be changed by opening a support ticket. The change is performed exclusively by our team.

In the Administration Panel, edit registration details under Contacts > Users > Edit user (pencil icon). The user login cannot be changed. To change the password, use the lock icon (Change password).

When you deactivate a user (✓ in Contacts > Users), data is not deleted: the user simply stops appearing and can be reactivated later. When you delete (X icon), the user's message history is not deleted. In History, use Show deleted users when you need to look them up.

Register users under Contacts > Users > New User (name, login, password, unit and department are required). The organization domain appears on the Dashboard; to change it, open a support ticket (only the team performs the change).

In the Administration Panel, under the Access Hours menu, enable or disable the restriction, select the allowed weekdays and set start and end times. Users can then access Chat Seguro only during the configured periods. Click Save to apply.

In the Administration Panel, use My Account > Change password to change the administrator password. For users, the administrator can reset the password via the lock icon under Contacts > Users.

In the Administration Panel, the Firewall menu controls which IPs can access the platform. With the general firewall on, only registered and enabled IPs (green check) can connect; when off, all IPs are allowed. Add IPs with Add IP. On the department, Bypass Firewall allows connecting even if the IP is not listed. Panel access must use HTTPS.

The generic contract/license is available on the website at https://www.chatseguro.net/terms. For customized contracts, contact support in the Administration Panel (Support menu or My Account > Support) or via the contact channels shown on the Dashboard.

Online, messages remain available for 3 years; after that period, we keep them in backup. Conversations and files can be viewed and exported from the Administration Panel History menu. For account-specific retention policies, contact support.

In the Administration Panel, open History > Users, choose users, period and optionally a search; click Send and then Export. There are also History > Groups, Files and Calls.

In the Administration Panel, under History > Users (or Groups), filter by period and content. You can delete specific messages or the entire history using the screen options. There are also History > Files and History > Calls. To restore from a backup, open a Support ticket.

Point deletions of messages, files or history are done in the Administration Panel History menu. For full account or complete data deletion, open a Support ticket describing the desired scope.

The Dashboard shows used storage space. To free space, delete files under History > Files. Text messages are managed under History > Users/Groups.

In the Administration Panel, open My Account > 2FA Security. On that screen you can enable or disable two-factor authentication for the administrator account. Keeping 2FA enabled is strongly recommended.

Under Contacts > Users, add users with New User, activate or deactivate with the ✓ button, and edit details with the pencil icon. In Edit user contact list, select units, departments and users allowed to communicate. On the Dashboard you track registered users versus plan licenses.

The structure is Unit > Department > User (each user belongs to one department and one unit). Under Contacts, manage Units and Departments (add, activate/deactivate, edit, delete). When editing a department, configure permissions such as Remote Access, File Transfer, Global Message, Attention Call, Bypass Firewall, Mobile Access, Edit Profile/Name, Change Photo, Delete message (up to 10 min), ServiceDesk, Video and Audio Call, Screen Share and Attachment Control. Permissions apply after the user reconnects.

In the Administration Panel, the Attachment Control menu defines which file extensions can be sent. Global control applies to departments without their own rule. You can enable/disable control, edit extensions (pencil), apply per department or globally and delete rules (X). On the department, Attachment Control permission also restricts allowed types. Department permissions apply after the user reconnects.

In the Administration Panel: Contacts > Conferences > New Conference (enter the name and Send). Use Edit participants, Edit administrators, Edit conference or Delete as needed.

Yes. Under Contacts > Departments > Edit department contact list, choose which departments can talk to that department. Under Users > Edit contact list, refine by unit, department and user.

In the Administration Panel, under History > Users or Groups, the administrator can delete specific messages or the entire history using the screen options. Under History > Files and History > Calls, records can also be deleted with the X icon.

In the Administration Panel, under Contacts > Conferences > Edit conference, change the group name. Participant and administrator management is done with the Edit participants and Edit administrators buttons next to the conference.

Under Contacts > Departments > Edit department, enable what is needed: Mobile/Smartphone Access, File Transfer, Video and Audio Call, Remote Access, ServiceDesk, among others. Permissions only take effect after the user reconnects to Chat Seguro.

After signing in to the Chat Seguro Administration Panel, open the home screen (Dashboard). There you will find links to download the Administration Panel and Desktop Application manuals.

In the Administration Panel, enable the ServiceDesk permission on the department and, under the ServiceDesk menu, register Agents, Categories and Tags. After changing department permissions, the user must reconnect to Chat Seguro.

In the Administration Panel, under ServiceDesk > Dashboard you see percentages of open tickets, waiting for agent, waiting for user and closed, plus flow by departments, monthly/yearly tickets and agent ratings. Under Tickets you can filter and export the list as CSV.

Yes. In the Administration Panel, under My Account > Customize, enable Customize Chat Seguro, upload the logo (JPG, GIF or PNG, up to 200 KB, approx. 300x90px ratio; transparent PNG is recommended), choose the background color and click Send.

On the Administration Panel Dashboard, the motivational thermometer analyzes message history with a vocabulary of positive and negative expressions and calculates a score based on how often those expressions appear in conversations.

In the Administration Panel, the Info Panel menu lets you create posts (subject, text and image). You can add, edit or delete posts published for users.

In the Administration Panel, edit the department and enable Video and Audio Call permissions and, if needed, Screen Share in Call; the user must reconnect. Call history is under History > Calls (filter/delete). Currently, Chat Seguro does not record calls to a media file; this feature is planned for a future update.

Currently, Chat Seguro does not have WhatsApp integration. This feature is planned for future platform updates.

Yes. Chat Seguro provides a public API for integration with external systems, allowing messages to be sent directly from your application. If interested, open a ticket in the Administration Panel requesting the API documentation. Our team will provide the information needed for integration.

In the Administration Panel, edit the department under Contacts > Departments and enable the Remote Access permission. Department permissions only take effect after the user reconnects to Chat Seguro.

Confirm the login and password registered in the Administration Panel. Check that the user is active and that the department/unit are enabled. If the Firewall is on, the IP must be allowed (or the department must have Bypass Firewall). Always access the panel over HTTPS. If needed, reset the password via the lock icon under Contacts > Users or open a Support ticket.

Check whether the Firewall or Access Hours is enabled in your Administration Panel.

Desktop Software and App

First download the installer from the website Downloads tab (the only official source). On Windows, run the file and follow the wizard. On Linux, use the package for your distribution. On macOS, open the installer, authorize if prompted, and move Chat Seguro to Applications. On mobile, after opening the link on the Downloads tab, finish installation via the App Store or Google Play.

Download the installer from the website Downloads tab and install it on the new computer. You can use the same account on different devices at the same time. To view and manage connected devices, open Tools > Active sessions.

Download the official macOS installer from the website Downloads tab. If the system blocks execution, go to System Settings > Privacy & Security and authorize opening it. Then move Chat Seguro to Applications as the installer instructs.

To check the installed version, go to Profile > About. On that screen you can also see the connected server and use Connection Test. To update, download the latest version from the website Downloads tab and install it over the current one.

Use the operating system uninstaller or remove the app from Windows installed programs. If you need to clear local preferences, under Settings > Advanced there are options to Delete configuration files and Restore default settings (effects are described on that screen).

Open Tools > Settings. Under Appearance: Ignore new message notifications and Ignore attention notification. Under Sounds: enable/disable sounds, volume and sound theme. In conversations, via the contact or group menu, you can mute or unmute notifications individually.

Open Tools > Active sessions. The window shows devices connected to your account (operating system, whether it is the current session, status, IP, Chat Seguro version and identifier). Use Refresh to reload the list.

On Desktop, under Settings > Audio and Video, choose camera and microphone. On mobile, grant camera, microphone and media permissions in the system and avoid aggressive battery optimization that closes the app in the background.

Under profile photo > Account > Change status, you can set online, away or occupied. There is no invisible status in the current Chat Seguro.

With permissions already enabled by the administrator, open profile photo > Account > Profile and use Change photo or Edit profile.

Open Account > Profile > Change password and enter the current and new password.

Open the groups tab (two-people icon) to see conversations, group profile, files and notifications. Under the group menu > Profile you see participants and, if you are a group administrator, can add or remove users.

With permission already enabled by the administrator, open Tools > Global message. Search by unit, department or user, select recipients, write the text, attach files if desired and send. Options: Send to all and Send as alert.

If the permission is enabled, you can delete your own message within 10 minutes after sending via the message menu.

In conversations, when you receive a file you can Open, Download or preview it in Chat Seguro. There is also the Files window (side menu) with search and filters (All, Files, Audio and Media) and preview with download.

Use the chat magnifying glass to search, filter by date or favorites and print. Navigation takes you to the found message.

No. Conversations and files remain on the server: after installing on another device and signing in with the same user, history remains available on Desktop.

With permission already enabled, open tickets via the flag icon (also on the home screen). You can create tickets (subject, message, department, category, priority and attachment), track status by colors and rate or reopen when applicable.

Open Tools > Autocomplete. There are two modes: Manual autocomplete (suggestions saved via the Open Autocomplete/Suggestions button in chat) and Dynamic autocomplete (suggestions while typing). Register replies under Manual Replies or Dynamic Dictionary, with options to add, edit, delete and clear all.

In group chats, use @ to mention a user. If ServiceDesk permission is available, use # to mention a ticket.

In the message three-dot menu, use Forward message to select up to 10 messages and choose recipients. In the same menu, Favorite/unfavorite and React (emoji) are available. You can also Reply to the message.

Use markers in the message: bold with **text**, italic with __text__ and strikethrough with ~~text~~. To paste text only (without clipboard image), use Ctrl+Shift+V on Windows.

With permission already enabled, start an individual or group call (limit per plan). Under Settings > Audio and Video choose camera and microphone. Currently, Chat Seguro does not record calls to a media file; this feature is planned for a future update.

The Info Panel appears on the Desktop home screen and can be opened by clicking it to read posts published by the administrator.

Under Settings, adjust light/dark theme, chat wallpaper, font and language as you prefer.

Open About and use the Connection Test with the servers. Check your internet, restart the app and reconnect. In Settings, make sure notifications or sounds are not disabled and the conversation is not muted. If it persists, download the installer again from the website Downloads tab and reinstall.

For received files, use Open, Download or the maximized viewer in the message. Under Settings > Advanced > Open downloads directory you access the app downloads folder. If external opening fails, adjust the system default program.

Under Settings > Advanced, there is an option to run remote access as administrator, so support can access the machine with elevated privileges when needed.

Website

Chat Seguro installers are downloaded only from the website, on the Downloads tab. Go to chatseguro.net, click Downloads at the top of the page and choose your system version: Windows; macOS Intel; macOS Apple Silicon (M1/arm64); Linux Debian/Ubuntu; or Linux Suse/RedHat (RPM). For mobile, on the same Downloads tab use the official Chat Seguro links for iOS (App Store) and Android (Google Play).

On the chatseguro.net website, use Sign in or go directly to https://www.chatseguro.net/admin/. Access to the Administration Panel must always use HTTPS.
